Stand location and cost

Exhibitors can choose from different types of stand locations (see registration form).

The organisation wants to encourage international exchange. Exhibitors who have to travel more than 300 km (one way) will receive a 50 % discount. Exhibitors who have to travel more than 600 km (one way) will receive a free stand. We will check whether you meet this condition on the basis of the address provided.

For registrations from abroad, on behalf of the Central Office for Foreign Taxpayers (CKBB), we ask that you first regulate and contact the VAT administration (tel. + 32 (0)2 577 40 50).

Bringing your own stand or stall is not allowed.

Quality

Bokrijk Botaniek puts quality, exclusivity and craftsmanship first. In concrete terms, this means:

  • Exhibitors with plants should offer all plants labelled with correct scientific name and price. The exhibitor will give visitors expert advice on the characteristics of the plants and how to care for them.
  • For plant vendors, we would like to see new introductions, specialisation in certain plant families or genera, rarities, ... Aggressive exotics (invasive species, of concern to the European Union) shall not be offered.
  • Exhibitors working around outdoor living and craftsmanship label their products with a price, demonstrate their products and provide visitors with explanations about the craft nature of the products.
  • Products are preferably unique in nature or made according to a special design, handmade (in Europe) according to a small-scale production process, or made using traditional techniques. An original combination of a traditional technique with a contemporary interpretation is also appreciated.

Set up and dismantling

Because Bokrijk Botaniek takes place in the enclosed Open Air Museum, the stand can already be built the evening before - on Wednesday 30 April between 6 pm and 9 pm. On Thursday 1 May, you can build up your stand between 7 am and 9 am. Bokrijk is not liable for any theft or damage.

The fair will take place during the museum's opening hours, from 10 am to 6 pm. Exhibitors continue to operate the stand during the entire opening period. Dismantling earlier, is not allowed. Dismantling will take place on Thursday 1 May between 6 pm and 9 pm or on Friday 2 May between 7am and 9.30 am.

No vehicles may remain at the stand during the fair. All vehicles must be moved to the car park after set-up, where they may be parked free of charge. On Thursday 1 May, all vehicles must be out of the museum by 9.30 am at the latest. Restocking during the fair is only possible via manual transport (wheelbarrow, handcart, etc.).

We advise exhibitors to provide sufficient merchandise when setting up.

We ask not to place any beach flags, banners or similar next to or in your stand. In doing so, we wish to guard the image quality in the Open Air Museum for our visitors. Small printed items such as name cards and leaflets are of course allowed. Bokrijk will provide an attractive four-colour floor plan with clear markings of each exhibitor.

Please note: strict legislation (Vlarema) applies to waste at events. Plastic bags are not allowed. Alternatives such as cloth and paper bags or cardboard boxes are allowed.

The organisation provides collection points where visitors can safely leave their merchandise while visiting the fair.

Miscellaneous

Exhibitors who wish to do so can purchase admission tickets in advance at the advantageous price of € 130 per 10 tickets as promotional gifts.

The organiser will provide exhibitors with free promotional material for use on their websites and social media.

We advise exhibitors to provide as much change as possible and bear in mind that most payments will be made in cash. Digital payments are possible, but Bokrijk is located in a natural environment so mobile phone coverage is not always guaranteed.

We are working hard to prepare for the fair. Consequently, we do not rule out that changes in these arrangements may still happen.
